Under the Freedom of Information Act 2000, I request copies of all current policies, procedures, guidance, templates, and training materials relating to employment references for current and former National Highways employees. This includes any information covering:

Who can provide references.

What information may be included or excluded.

The use of factual versus detailed references.

References for employees involved in disciplinary, grievance, capability, suspension, redundancy, or settlement agreement processes.

Any standard templates or wording used.

Please also provide the date the current policy came into effect.
Response
I request copies of all current policies, procedures, guidance, templates, and training materials relating to employment references for current and former National Highways employees.
We do not have a policy or procedure, this is governed by a HR Shared Services process. Please see the attached document entitled “HRSS Reference Request Notes 2025” for current guidance.
Who can provide references.
HR Shared Services provide references on behalf of National Highways including employment references, mortgage references, VISA references etc.
What information may be included or excluded.
We have a standard template that confirms:
1. Full Name
2. Job Title
3. Period of Employment
4. Contract Type
5. Salary
The use of factual versus detailed references.
See above; our references are based on the above 5 facts. This information is taken from the personnel record on our employee system PFP.
References for employees involved in disciplinary, grievance, capability, suspension, redundancy, or settlement agreement processes.
We provide the standard template response.
Any standard templates or wording used.

As per above responses, there isn’t a policy regarding this. However, the HR Shared Services process was last updated in 2025.
